Finance workflows that run the policy — not around it
Invoice routing and approval
Trigger from an email attachment or kintone record. AI Step extracts vendor name, invoice amount, and due date as structured JSON. Route for approval based on spend tier: department head for standard amounts, CFO for exceptions. Every decision timestamped and logged.
Spend request management
Department heads submit via form. TASKBASE enforces the budget approval matrix automatically — spend thresholds determine the approval path, not someone manually deciding who to email. Rejected requests branch to an exception path with required justification.
Month-end reconciliation checks
Trigger the workflow on a monthly schedule. Pull data from your accounting system, run comparison logic, flag rows with discrepancies above threshold, and route flagged items to the responsible finance owner for review and resolution — all logged.
Contract classification and routing
AI Step reads contract text, classifies by type (NDA, service agreement, SaaS subscription) and risk tier (standard vs. non-standard terms). Routes standard contracts directly for signature; routes non-standard to legal review with a 5-day Human Gate and escalation path.
Controls that cannot be bypassed
Finance automations that process invoices, expenses, and contracts must be auditable, policy-enforced, and attributable to a named decision maker. TASKBASE is designed for exactly this — and not for general-purpose automation where controls are optional.
Human Gates enforced by policy
Configure spend thresholds and contract types that require human sign-off. The workflow cannot proceed past a Human Gate until the designated approver acts — approved, rejected, or explicitly escalated.
Decision-level audit log
Every approval decision is stored with actor identity, timestamp, decision (approved / rejected), and any attached comment. Business plan customers can export the full log in JSON for internal audit or compliance documentation.
Exception and rejection paths
Every rejection or policy violation branches to a defined exception path — not a dead-end. Rejected invoices, missing PO numbers, and non-standard contract terms all have their own handling logic, logged at every step.
Role-based access (RBAC)
Finance team members are assigned roles: Builder (design workflows), Operator (action approvals), Viewer (read history). An Operator cannot edit workflow definitions. A Viewer cannot approve. Enforced at the data layer.
